Job Description
Position: Contributions Coordinator
Responsible to: Associate Pastor: Operations and Outreach
Non-exempt, part-time (25 hours), hourly position
Minimum hourly rate is $21
General Description: Responsible for receiving and accurately recording all contributions and receivables to Roswell United Methodist Church. Serve as the point of contact for all members requiring assistance or information related to gifts made to the church. Perform other finance related duties to facilitate operations or assist the congregation in the giving process.
Specific Job Responsibilities:
- Process Contributions: Process all contributions, donations, and receivables, including cash, checks, ACH and credit cards. Enter contributions into RUMC database, prepare or scan deposits for bank, and enter deposit information into accounting Record donor intent of gifts. Assure accuracy and confidentiality of members’ contributions and all other receipts in all payment forms. Enter all data so that month-end procedures and reports can be executed in a timely manner. Compile donor lists as needed for RUMC staff and clergy.
- Point of Contact: Serve as the point of contact for all members requiring assistance or information related to gifts made to the church. Assist and answer members’ questions regarding their contributions with a pleasant and polite attitude. Give support to members wishing to contribute online, by text, stock transfer, PayPal, and any other methods adopted by the church. Give support to e-givers regarding their online questions and problems.
- Volunteers: Interface with two teams of RUMC volunteers who count money that is received at worship services, concerts, VBS, etc.
- RUMC Customers: Create and send QuickBooks invoices to and record payments from RUMC “customers.”
- Contribution Statements: Send out quarterly contribution statements via email and physically mail to those who may not have email, including a letter or note from clergy.
- RUMC Foundation: Process donations to the RUMC
- Online Giving: Make adjustments on the onlinegiving.org website. These adjustments include event triggers, giving pages, and re-ordering the list of giving options.
- Offering Envelopes: Create offering envelope list for contribution envelopes mailed to members on a quarterly basis. The date must be made and sent six weeks prior for timely delivery to the congregation. Ensure all address changes are made before updating Order and mail contribution envelopes quarterly. Order and stock all supplies pertaining to contribution envelopes and coordinate with Altar Guild to assure the supply of envelopes is readily available for the pews. Handle communication with the church envelope company if changes need to be made regarding the current design of the envelopes.
- Ministry Platform: Enter electronic and paper copies of Estimates of Giving into database, and report on pledge activity as Provide yearly updates to the Church Structure Programs in Ministry Platform.
- Communications: With the help of the Communications department, place periodic announcements in the Friday Blast and the bulletin, reminding the congregation of the various methods of giving.
- Committees: Serve on the Foundation Golf Tournament Committee and Finance Committee as
