Job Description
Responsible to: Associate Pastor: Operations & Outreach
Non-exempt, part-time (up to 29 hours/week), hourly position
BS degree in accounting or finance; accounting experience is preferred.
General Description: Ensure accurate accounting for the Operating Fund, Missions, and Foundation accounts. Responsible, along with members of the Finance Committee, for the overall finances of RUMC. Ensure that payroll is accurate and complete each pay period, currently twice per month. Identify and maintain a record of fixed assets. Crosstrain to handle other functions within the Finance Department. Research and implement process improvements and process efficiencies to increase the effectiveness of the current Finance staff and its functions. Demonstrate collaborative and consultative leadership with the church staff and committees. Embrace and demonstrate “radical financial hospitality” as appropriate, including interfacing with the membership to encourage year-round stewardship.
Specific Responsibilities:
- Financial Reporting: Format monthly financials for distribution to Executive Finance Team, Finance Committee, and Staff; including Balance Sheet, Receipts and Disbursements, Cash Analysis report, Previous Year Comparison, Missions Balance Sheet, and Commons Line of Credit. Also prepare budget-to-actual and transactions reports for distribution to department heads.
- Payroll Processing.
- Assure accuracy and confidentiality with the execution and maintenance of payroll twice a month.
- Resolve payroll or tax issues with employees and the payroll processor. Act as the focal point for employees for any payroll issues or questions including communication of changes due to taxes, benefits, or other changes that would affect their net pay.
- Work with the payroll processing system to accurately enter semi-monthly payroll data for approximately 80 salaried and hourly employees.
- Distribute pay information and documents as needed including checks, W-2s, 1099s, and any other governmentally regulated forms.
- Compile and update employee records (i.e., vacation, sick leave, etc.), record employee information and salary changes, and complete all paperwork related to status changes. Update the payroll system as necessary in a timely manner.
- Financial Statements. Analyze and prepare all financial statements to be presented to the Finance Executive Team, Finance Committee, Board of Stewards, bank, and auditors.
- Public Relations. Work closely with the representatives of the banking industry to ensure optimal operation of our banking relationships with the best interests of RUMC in mind (rates, fees, adequate credit line).
- Communications. Communicate with the congregation and staff on financial matters. Continually consult with staff members and key lay persons concerning financial matters.
- Budget. Develop the preparation of the budget and continually monitor expenditures and income vs. budget. Advise and attend budget meetings for all areas. Consolidate budget requests for presentation to Finance Committee, Board of Stewards, and Charge Conference.
- Foundation. Deposit funds and prepare financial statements for Foundation. Coordinate with North Georgia Foundation for funds and endowments invested with them. Accounting for golf tournament receipts and expenditures.
- Financial Analysis. Perform detailed analysis of the long and short-term financial health of RUMC. Provide results of analysis to pertinent church groups.
- Audit. Preparation of journal entries and worksheets to assist in fieldwork. Answer questions on procedures and financial statements. Communicate findings to Finance Executive Committee.
- Workers Compensation Audit. Provide payroll information, 941s, 1099s, and subcontractor.
- Fixed Assets Accounting. Identify fixed assets as a purchase occurs. Maintain listing of fixed asset information including category, cost, purchase date, location, and ministry.
- Special Projects. Assist with special projects requested by the Business Administrator, Finance Chair, Stewardship Chair, or other staff members.
- Banking. Take cash receipts to the bank, currently once a week.
- North Georgia Conference. Provide financial interface with the North Georgia Conference (annual report, payments to North Georgia Conference).
- Advise the Senior Pastor on financial matters of RUMC, particularly in relation to special funds for missions and outreach and the staff budget.
