The Human Resources Administrator provides comprehensive administrative support to the Chief People Officer and the HR department. This position plays a vital role in ensuring the smooth operation of HR processes and day-to-day administrative tasks, while also acting as a reliable and confidential liaison to the CPO. The ideal candidate is detail-oriented, highly organized, tech-savvy, and capable of handling sensitive information with discretion.

- Exhibit exceptional stewardship by maintaining accurate employee records (digital and paper) in accordance with internal policies and legal requirements.
- Oversee the process for opening and closing job requisitions, and monitor openings to ensure timely filling of positions.
- Assist with job vacancy postings and candidate resume review for hiring manager consideration
- Collaborate with Marketing department to develop recruitment and employment related content for LinkedIn and other social media platforms
- Maintain tracking log of all claims
- Receive and processes all HR related mail to determine best course of action and next steps
- Assist with benefits administration and open enrollment
- Oversee the organization’s Rewards and Recognition program to ensure timely recognition and distribution of awards, tracking, and payment of related invoices.
- Manage monthly org-wide employee anniversary and birthday
- Manage and prepare monthly org-wide training
- Process all HR related invoicing and
- Conduct weekly document pick-up from HR Managers and perform document uploading for record keeping purposes.
- Ensure timely responses to request for information or action items
- Effectively communicate pertinent information to LifeLine leadership
- Prepare agendas, take minutes, and track follow-up actions for HR leadership
- Handle confidential correspondence and materials with discretion and compassion.
- Help build a community of animal welfare advocates by supporting and engaging volunteers who aid LifeLine’s mission.
- Take responsibility to anticipate department needs and deliver necessary solutions and
- Respect, embrace, and celebrate diversity by championing a positive, inclusive, and high-performance culture, always focused on LifeLine’s mission to save lives.
- Continue education by participating in LifeLine’s 40-hour annual training
- Generate routine and ad hoc HR reports (e.g., headcount, turnover, compliance, run-loss).
- Support audit and data integrity processes within HR
- Courageously assist with the planning and execution of employee engagement
- Support HR team with special projects, research, and process improvements as
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Compassion for animals and the people who love and care for
- Minimum of 2 years of administrative or HR support experience
- Strong organizational skills with attention to detail and accuracy
- Tech-savvy and comfortable learning new systems
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Proficiency in Excel
- Experience with ADP platform
Education and/or Experience:
Associates Degree or higher
Experience supporting executive-level leadership or office management.
Knowledge of employment law and HR best practices preferred.
Work Environment:
While performing the duties of this job, employee may be exposed to unpleasant kennel smells. May witness dogs and cats that are stray, injured, diseased or vicious.
