Job Description
Key Responsibilities This is a full-time position with occasional evening and weekend responsibilities. Duties include but are not limited to: Executive Support: 30% • Coordinate and manage the President & CEO’s calendar and schedule • Schedule meetings for the Chief Administrative & Program Officer • Provide administrative support for organizational projects, assignments and initiatives of the President & CEO and the Chief Administrative & Program Officer Board Relations: 30% • Schedule and organize Board and select Committee meeting logistic, including collating and sending pre-meeting materials and presentations as needed • Plan and coordinate meeting logistics for the annual Board and Staff Retreat, New Board Member Orientation, Holiday Party and other in-person events and activities • Attend meetings, record minutes, and maintain board documents and calendar • Facilitate communication with board members Donor Gift Processing & Acknowledgment: 30% • Process all incoming donations in Salesforce with accuracy and timeliness • Generate and mail/email donor acknowledgment letters and tax receipts • Maintain accurate donor records and contribute to database hygiene • Support the Development Team in executing donor stewardship activities • Coordinate weekly, monthly, and annual gift reconciliation with the Accountant, IT and Development Director. Other Duties: 10% • Provide logistical support for the annual Parks & Greenspace Conference and team-building activities • Manage office supply ordering and stocking • Weekly mail pickup at Post Office and other work-related errands as necessary • Perform other duties and special projects as assigned Qualifications • Bachelor’s degree preferred • 2–5 years of relevant administrative or development experience • Excellent written and verbal communication skills • Proficiency in Microsoft Office; Salesforce or other donor database experience preferred • Must possess a valid Driver’s License, clean driving history, and personal transportation suitable for mail pickup and other work-related errands • Meticulous attention to detail and strong proofreading skills • Excellent time management and organizational skills • Collaborative mindset and ability to work across teams • Enthusiasm for parks, greenspace, and the mission of Park Pride Application Process Please submit a resume and cover letter to hr@parkpride.org with “Executive & Development Coordinator” in the subject line.
